Tripin privacy notice
Updated 12 October 2026.
Request deletion of your TRIPIN account or particular personal data — no app installation is needed.
Who is responsible
Colin Kingsley is responsible for the personal information processed by Tripin (the data controller). For privacy questions, a copy of your information, corrections or deletion requests, contact admin@tripin.co.uk. You can also meet the Tripin team.
Information we use
- Your account: email address, login and security details, display name, profile photo, language, home area, vehicle information and preferences you provide.
- Your journeys and contributions: saved Trips, routes, selected stops, notes, favourites, memories, uploaded photos, reviews, suggestions and content you choose to share. Public contributions and shared links can be viewed or copied by their audience. Private journeys are restricted to authorised access.
- Location: when you allow location access, we use your device position for nearby discovery and journey features. Route searches also use the places or coordinates you enter. You can withdraw device permission in your browser or phone settings; features needing your position will then be limited.
- AI and voice features: messages, relevant trip or preference context and voice recordings you submit may be sent to the configured AI provider to answer your request, transcribe speech or generate audio. When you use Wisp, its provider also receives your saved display name, preferred travel radius and tent-camping, family-friendly and dog-friendly preferences so it can personalise your conversation. This limited profile context does not include your email address, phone number, home area, profile photo, private memories or payment details. You can use a nickname, clear your optional display name or edit your preferences in Profile. These saved preferences remain available in a fresh chat; closing a chat does not erase your profile. The activity-personalisation switch separately controls suggestions based on your activity. Do not include information you do not want processed by that service.
- Payments: Google Play processes Android membership purchases; Stripe processes website purchases. Tripin keeps purchase and subscription references, protected Google purchase tokens, a hashed account identifier and verified membership status to provide access and prevent purchase reuse. Payment providers handle your payment-card details; Tripin does not store your full card number or security code.
- Service operation: requests, security and error records, and bounded feature-use events help us protect the service, investigate faults and understand how it is used. Product analytics excludes raw search text, precise location history and message contents.
Why we use it
We use information needed to provide your account, saved journeys and purchased features to perform our contract with you. We use security, fault investigation and service administration records for our legitimate interests in operating and protecting Tripin. We process information where necessary to meet legal obligations, including applicable accounting requirements and responses to lawful requests. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.
Services receiving information
Hosting, email and payment providers process information needed to run Tripin. Depending on the feature you use, mapping, routing, place, weather and AI providers receive the query, coordinates or content needed to return a result. These may include Google Maps Platform, Google Play, TomTom, OpenStreetMap-based search and routing services, Open-Meteo, Stripe and OpenAI. Cloudflare Turnstile helps protect account forms against abuse. Map, font and other resources loaded from external providers also disclose connection information such as your IP address to those providers. Following an external booking, navigation or other link opens a separate service with its own privacy notice.
Service providers may process information outside the UK. Contact us for details of the providers and transfer safeguards applicable to your information.
Cookies and storage on your device
Tripin uses cookies for sign-in, security and language preferences. Optional product analytics is off until you enable it below. It uses an eight-hour session cookie. Do Not Track and Global Privacy Control disable analytics even when this preference is enabled. Your browser may also store preferences and cached app files. Downloaded journeys, map data and saved media remain on your device until you remove the download or clear site data. Removing server-side account data does not remotely erase copies already downloaded, shared or exported.
How long we keep information
Account information and saved content are kept while needed to provide your account and the features you use. You can remove individual content through the available controls or request deletion. Product analytics events expire after 400 days through a daily cleanup. Security, support, moderation and payment records may be retained where needed to investigate abuse, resolve disputes or meet legal obligations. Retention depends on that purpose, applicable requirements and any outstanding dispute; ask us about a particular record.
Company accounting records: our retention policy is six years from the end of the last company financial year the records relate to. Longer retention applies where required, including a late tax return, an HMRC compliance check or records relevant to more than one accounting period. This covers the necessary transaction, invoice, refund and related accounting evidence, rather than a general six-year period for all personal information. See GOV.UK’s accounting-record requirements.
Deleted information can remain in restricted recovery backups until those backups expire. Backup copies are for recovery, not ordinary use. We may retain a limited record of a deletion request and the action taken.
Request account or data deletion
You can request deletion of your TRIPIN account and associated personal data from any browser or email app. You do not need the Android app installed, and you do not need to sign in to read this page or email a request.
- Email admin@tripin.co.uk with the subject Tripin account deletion. Where possible, send it from the email address used for your TRIPIN account. Otherwise tell us that account email address so we can help verify ownership.
- Say whether you want your entire account and associated personal data deleted, or only particular data removed while keeping your account.
- The team checks account ownership, reviews the request and any records that need to be retained, and contacts you about completion. Never send your password, recovery codes or payment-card details.
If you can sign in, you can instead use Account settings → Request account deletion. That form asks you to confirm your password where your account has one. If you cannot sign in, use the email route above.
What the request covers
Account deletion covers your login and profile information, preferences and vehicle details, private saved trips and stops, favourites, memories and uploaded personal photos, conversations and other personal content associated with your account. The team also reviews personal information in public contributions and associated activity records for removal or anonymisation, subject to the exceptions below. Merely disabling sign-in is not completion of a deletion request.
Information that may be retained
Limited transaction, subscription and Founder purchase evidence may need to be retained for accounting, fraud prevention or disputes. Security, moderation and deletion-request records may also be retained for a necessary legal or safety purpose. We explain the reason and applicable retention period for any exception when handling your request. These records are reviewed manually; they do not have an automatic deletion timer.
The accounting period above applies to records needed for the company’s accounts and tax obligations. Other audit, security and support records are retained only while needed for their documented purpose or an applicable legal obligation. On resolving a case or reviewing a deletion request, the team reviews those records for deletion or anonymisation. Any continued retention must have a specific reason and review date; a record being called an “audit log” does not by itself justify keeping it indefinitely.
Optional product analytics has a 400-day retention window with daily cleanup. Restricted recovery backups can contain older copies until those backups are retired; there is no single confirmed expiry covering every historical, manual and off-site backup. They are not used as active account data. Downloaded, exported or third-party copies are not remotely erased: remove offline downloads in TRIPIN or clear the app’s stored data on each device.
Delete particular data and keep your account
Yes. Email admin@tripin.co.uk with the subject Tripin personal data deletion, identify your account and describe the information to remove. You can also use the available controls to delete saved trips or memory photos, remove favourites and vehicles, or clear optional profile details. Some community-content controls hide content pending review; email us if you need the underlying personal data erased.
Subscriptions and completion
Requests are handled by the team, not by an automatic account-erasure process. Sending a request does not immediately delete data or cancel billing. We will explain any necessary verification and timing, and confirm when the request has been completed. Manage Google Play renewals through Google Play, or use Membership for the appropriate billing controls. You can also ask admin@tripin.co.uk for cancellation help when requesting deletion.
We respond without undue delay and normally within one calendar month. If proportionate identity verification is necessary, we ask promptly and explain how it affects the response deadline. Where a legally permitted extension is needed because of complexity or the number of requests, we explain the reason within the initial month; the extension can be up to two further months. Our response confirms the action taken or explains any lawful refusal and your complaint rights. This is not a promise of instant or unconditional erasure. See the ICO’s guidance on erasure requests.
Your rights and complaints
Depending on the circumstances, you can ask to access, correct, erase or receive a portable copy of your information, restrict its use, or object to processing. Contact admin@tripin.co.uk to exercise these rights or raise a concern. You can also complain to the Information Commissioner’s Office, or your local data protection authority where applicable.
Changes
We will update this notice when our use of personal information changes. The date above identifies the current version.
